View Full Version : send an anonymous email via exchange

Hi Guys

My HR department wants a email address like anonymous@domain.co.za that people can send anonymous emails to that can be discussed in meeting and so forth without the sender of the email being known.

I know you'll still be able to track the message with messasge tracking but that's not really important as long as HR cannot see the sender.

Any ideas?

Rather set up a web form.

Giving everyone an anonomous email is asking for trouble.

If you setup a web from on your intranet everyone can go there to leave their comments without all the hassle of an email address.

Rather create a group Anonymous and add the email addresses in so when they send an email to anonymousA@blablahblah it would state anonymous as the Sender , fun and easy

but then you would have to set this up on every machine?

Nope, if you create the group on the server, then the users email addresses get to be added in that group, Eg I am sending an email to you ,and you are listed as one member of that group" anonymous, and i mail to anonymous , you will receive a email from sender anonymous

I tried it it doesn't work. In the to field it would say anonymous@domain.co.za but the name still appears of the user that sent it.

That makes sense... but then all mail from those people to the hr dept or each other would be from anonymous?

I think what Amida wants, is that all the people should be able to mail the HR dept anonymously. So, they send a mail to HR, but HR can't see from whom the mail is.

Create a mailbox(maybe anon) and then forward all mail sent to this mailbox to HR and somehow(don't know this part) delete the header/original sender info.

Also google - hide my identity, but I don't know if this is the route you want to follow.

Thanks that's exactly what I want. I've tried creating a anonymous mailbox but there is no rule in outlook I can use to remove the header.

We have got a sharepoint site does anyone know how to create a webform email box that I can add into the site?

I use sendmail, but my experience is limited... just trying to pick things up here and there... :D

Real Problem: The company staff feel that Human Resources staff are not trustworthy.

Effect of Anonymous Email Solution to Apparent Problem: The staff still feel that Human Resources staff are not trustworthy. Any good suggestions cannot be accredited to the source. Generic accusations cannot be investigate properly. Creates a situation where potential blackmailers now have an avenue to apply their blackmail pressure, at zero risk to themselves (the blackmailer).

Real Solution: Establish an excellent privacy policy. Train the HR staff on what this privacy policy means. Properly market and train the company staff on their rights regarding the privacy policy. Establish compulsory "private" meetings which must last at least 10 minutes once a month to encourage use of this communication channel, and build trust.

Then I'd suggest that you look at an application to manage the process. Something that will stand up in the CCMA'swhich are sure to arise.

your big companies like the fraud reporting lines etc use software that receives the mail, strips-off the sender IDs etc and either forwards it on under an alias, or logs it a work queue somewherwe.

As mentioned however, there is always traceability. Perhaps though if you outsourced to to a 3rd party company they would feel better? But it will cost u.

I know reviving an ancient post is not a good thing, but I am bored and only saw this one now.

If using Exim or Sendmail you can simply use header rewriting. Setup one mailbox for the HR group let's call it Anonymous@whatevs.com. Give the HR people access to this mailbox and obviously instructions. Now in Exim or sendmail create the header rewriting rules for all mail destined to this address and strip out all the from or identifiable fields from the mail.

I would however log the changes so that you can still do some tracing of mails on the backend. Not see who sent the mail but rather to troubleshoot mail delivery errors and such things.

MS Exchange is not an "anonymous" system.
Everything is "ticketed"
everything is "message tracked".

The only solution:

a) Create a new mailbox on Exchange called "anonymous@yourdomain.whatever"
username: anonymous.yourdomain.whatever
password: anonymous
set password to "never expire"

b) distribute the username & password to all staff.
c) ALL staff use Outlook web Access to open THIS mailbox and send an email to the boss/HR/public folder.

This is your best option... when sending the mail, click the "from" tab and choose the anonymous address.
