Employee individual tax and EMP501

Hi,

I hope somebody can help with this issue.

At the moment we employ 15 people of those 15 only a few are registered for individual tax and got their own tax number.

Now the book keeping company we use are telling us that all of the employees must be registered for individual tax and have their own tax number. They will also register these employees for us at R175.00 per person.

How true is this ?

Then we also have 5 people that have worked for us in the past, but don't work for us anymore.

The book keeper also require the tax numbers for each of these employees. The thing is when they worked for us they didn't have a personal tax number, but now according to the book keeper they can see on SARS's system these guys have their own tax number.

Now they want the tax number from us, but we haven't had any contact with these ex-employees and their contact details we have on file also doesn't work anymore.

So how are we supposed to get these ex-employees tax numbers ? According to the book keeper they need this to complete the EMP501 and if they don't have it before 31st October there will be a penalty of over R250.00 per person.

everyone has to be registered and have a tax registration number. how many employees do you need to register? maybe phone SARS and ask them the quickest and easiest way to get them registered. i think your accountant is taking a big chance here. usually SARS will automatically register a tax payer if the payroll is submitted and the individual is not registered. phone SARS and ask the call center agent to check. give the ID number and full names.

we have a electronic clocking system and at the end of each month the clocking reports are sent to the book keeper. They then do the employee payslips and do the PAYE,SDL and UIF payments and then just send us the proof of payment from SARS.

And each year we receive IRP5 forms for each employee from SARS.

So if I understand you correctly SARS should have automatically registered each employee for a tax number ?

yes if SARS sees that the employee is not registered then said employee will automatically be registered once SARS has all the details i.e. ID number, bank details etc. phone SARS call center and see if one of the employees are registered.
