Centralized Email or Something

Hi there,

I hope someone can give me some help. Im running a small company. But have 3 ladies attesnding to phones, email and clients.

My issue is everyone has their own email address, but if one is not there or of sick we miss al the emails in her inbox.

I know we can check it, but they dont
I know we can add a auto reply, but they dont.

My question is, is there no system with one place where all the email come in, and on a normal day everyone just deal with their own stuff but on the day that someone is off, the email get seen and handeled

You have many options. IMAP connections to 1 account. Or shared mailbox on Exchange like Office 365. Group mailboxes and so on and on

a few options

1

Setup a Gmail account and feed your company domain email into it. Then have them all log into the gmail account to manage emails. This way everyone can see whats going on and nothing gets missed or repeated

install a ticketing program on your website (like OSTicket) its free, fairly easy to setup and you have a helpdesk with auto-replies, predefined messages etc etc

Sign up for a 3rd party ticking system like Freshdesk, Zendesk etc - some are free, others charge a few $'s a month. Like above, ALL emails get piped into a central "inbox" and all your staff can attend to it from there. Also everyone gets to see the replies so everyone is on the same page in case one person is not available that day.


A ticketing system is the way to go as you can monitor response times, messages and all information in one place.
