I have absolutely no experience with document management systems so I am not sure where to start so I thought I would begin here with recommendations from the forum.
My company works with thousands of Bills of Materials and CAD files associated with products we need to produce for our customers. We have used a share driver with a Folder structure that is as following: D:\Share\Data\Customer Name\Product Name\Revision Number\Files
The problem with this is that the Bill of Materials, CAD Files, and the pricing we calculated were all stored together so it is now becoming problematic giving users access to the folder as we do not want the pricing and the markups etc getting into the wrong hand. This means we now have to look at either separating out all the pricing from the data folder and having a separating pricing folder with an identical structure - as you can imagine this will take months and will just be tedious to work with going forward. Another option is to start from scratch and use a Document Management System.
I am not sure what document management systems are capable of and how they work but essentially I want to be able to manage revision control on products and separate out the pricing and limit the user access to pricing and have separate permissions for the rest of the data such as the cad drawing and the Bill of Material.
Does anyone have any suggestions? Is a Document Management System a right approach for this?
