Hi Guys;

interesting problem Ive got

my user has a massive ost file on outlook in excess of 10GB, (he is using 2010 BTW);

what he wants to do is create smaller PST's each with all of the mails for each year,
IE all mails from 2010 in their own PST, all the mails from 2011 in their own PST, ect ect....

short of waiting for his mails to download and then manually moving each years data across to a PST;
or creating search folders but not moving them off his OST file;

what other ways are there to create this?

sure there must be a quicker way to archive and split up OST;s

You could consider using AutoArchive to move the data to different folders.
 
The *.ost file is an offline version of your mailbox. Converting it to a *.pst file won’t take long.
 
so long story short; autoarchive not working the way I want it to work;

also did do according to this article, http://www.msoutlook.info/question/541
and changed registry to autoarchive by recived by and not modified by;

I want all his mails to go into a individual PST for that year; bearing in mind he has many many subfolders and many many folders under each folder

please see below what I tried doing,

1)autoarchive to archive anything older than 2014/01/01
and make a PST called 2014

2)1)autoarchive to archive anything older than 2013/01/01
and make a PST called 2013

3)1) autoarchive to archive anything older than 2012/01/01
and make a PST called 2012

4)1) autoarchive to archive anything older than 2011/01/01
and make a PST called 2011

5)1) autoarchive to archive anything older than 2010/01/01
and make a PST called 2010

what happens and this is quite interesting is none of this happens; instead I get 2012/2013 mails inside 2014 PST;
and other weird things happening, I noticed that outlook tends to ignore anything marked as follow up and anything marked as in a colour label;

so my last option is to do this manually for close to 30000 mails this isnt nice,

is there any way to sort and filter automatically into folders/PST's based on years?

have I missed something important here?
 
can't you shift select all items in a particular year, right click, and then choose "Move to Folder"?
(Arrange e-mails by date first)

Then, you can backup/export the folders using the export wizard.

Apart from what I've highlighted, maybe move the oldest stuff first i.e. anything older than 2011/01/01 into 2010 and then anything older than 2012/01/01 into 2011 and so on...
