Exchange 2007, How the hell did I get this right?

Hi,

I somehow managed to do this about 2 years back.
I reloaded the server and redid everything from scratch over December (due to a very crappy install by the company that set it up originally).

I have set everything up again and all is working but have a few issues with exchange now.


1. I managed somehow to get one pop account to download emails without deleting them off the main server. How did I do this?
2. I managed to get the server to download and send from several domains (mweb.co.za, our domain and the domain of a company we bought).
3. I managed to get the one account (same as the account in step 1) to send emails that are sent to it from internal users to the external email address.

1 and 3 are because we have an external user and two on site users that all use the same account to send and recieve emails from clients and to make sure they are all on the same page. Due to ADSL stability in our area I do not want to set the external user up to use our server to access the account.

Any suggestions?

1. Not sure I understand you. Is Exchange downloading mail from a POP account (Accepted Domains), or do you have POP/IMAP configured on Exchange for your users?

3. I'm not sure how else he could access it then. For him to not touch your server it would mean having an external account setup (GMail) and all those mails forwarded to it, plus you'll have a major headache with Sent Items. It's not ideal. Can't you allow the user to use Outlook Web Access rather than downloading mail?

Exchange was downloading the mail from a pop account without deleting it off the pop server.

The account was an internal account but when internal users sent to it he received the emails externally (I had the account set up to sent the emails to the external account, not an internal/exchange account).

Would love to set him up on OWA or similar, problem is our ADSL line goes down several times a year due to our physical location/distance from dslam/exchange, age of cabling (company has been here since 1969, building since the early 50's) and cable theft. He is located in Jhb, we are in Pretoria, he spends about 50% of his work life in Europe/America/Australia. I tried OWA from Brazil and it took 30 minutes to get to the welcome screen (many refreshes and time outs later I could not get past this).

If i understand you correctly in 2. its referred to as a smart host.
In exchange 2003 you set this on the SMTP object under protocols.
This means that it will relay your mail from your server to another server to the outside world.
Sometimes companies like Mweb have open relay smtp server like send mail.

As for 1. Sounds like a Client setting outlook can be set to do this "Leave a copy on the server" is the option if i remember correctly.

3. You can forward mails to an email address.

You create a contact on AD then go to the user in ad under exchange features I think mail delivery then you can either forward the mail as is or send a copy to the exchange account AD account's exchange mailbox.

If you mess aroud with GMAIL and your exchange you can get this done seamlessly to other people.

They send to your domain, your domain forwards the mail to Gmail and gmail can be set to fake its address
to [email protected] instead of [email protected]

1. Haven't been in the exchange game for a while (like 4 years) but if memory serves the POP3 connector used had the option to leave a copy of the message on the server or it was a registry hack. What connector are you using?
2. This sounds like you are talking about smart host as mentioned by SBSP in his post
3. This can be done by forwarding all mail with unresolved recipients to a host or you have to set your exchange so that it is not responsible for all mails sent to your domain.
