I sometimes dread to do a reload for a customer, they never have all their licenses or drivers ext. ext. and then to keep record of all their username and passwords. I support a few businesses so keeping track of everything gets even harder.

How do you guys keep track of everything, I would like to offer a service to my customers and make it easier for me and for them to know what is going on with their PC and maybe put a system in place to keep control of things.

Any ideas are welcome.
 
i have A4 size plastic tubs(paperbox lids could work as a trail.) All the tubs are numbered.

Pc comes in
job card gets created containing a list of all i recieve.
If there are added disks. Tub number gets recorded.

You can create a database of all their drivers, even the type of software they use.
In some instances i have created backup disks of some of their software. The back up is left with a person that's senior but not have the originals.

I have in some cases gone to clients & created a disk for them, at their request containing password, keys etc. But i did not keep a copy as i think there could be legal issues.

They provide me with this disk when working on their stuff.
 
I have a large roll of bar-coded stickers that I affix to the bottom of the case.

I then use audit software that runs on it's own bootable CD / Stiffy / USB Stick to:
1. Connect to my network (WiFi / Ethernet / Serial Cable (Yes, serial cable)).
2. Audit the PC components.
3. Request the barcode number.
4. Upload the audit to my server.
5. I then go to my machine and print a differentiation report / full report, which is given to the customer to sign.

I then do the work, and at the end of the job I print a differentiation report, as proof of the work done if hardware was modified, otherwise, a note is manually typed into this report to indicate the work done. This report is kept on the server.

I have still not managed to integrate a barcode scanner into the process, but I have mounted a digital camera under my glass "desk" to read the barcode with - lulz.

Note: The first set of barcode stickers that I had fell off the machines after about a year, and were a complete and utter fail.
 
Except an excel spread sheet what is good software to organise passwords and usernames for different people and different things, e.g. routers, mail servers email?

You may keep track(spreadsheet) of what programs they use but you may not keep a database of their keys, passwords, logins. They need to take responsibility for that information themselves.

If you explain the reasons to them thet will respect that & will be glad that you are helping to keep their property/information safe.

Otherwise you might be a suspect when somebody manages to hack their network and steal/delete data with their current credential set.

Not fun.
