Moving Shared Hosting Providers

I am trying to move hosts for someone. They have an email hosting solution with their own domain name and I'm trying to help them move it to another hosting service provider.

With most providers there is an option to transfer a domain from another hosting provider. Has anyone done this and what would the procedure be? How much down time can I expect? Any tips?
 
For a .co.za domain I have just moved which appears to be similar circumstances to yours.

Step 1. Set up the existing .co.za domain on new hosting provider.
Step 2. Record the new DNS entries for Step 1.
Step 3. Set up the existing email addresses and existing passwords on new hosting provider.
Step 4. Download domain update form from Uniforum (.co.za registry ... one of them)
Step 5. Update DNS details and submit form.

Once the update form has been accepted by the relevant parties, DNS propogation will occur. My propogation took 24 hours.
Downtime to client minimal.

Step 6. (Optional) Update email passwords for security.
 
The problem start with the client setup of the email accounts.

All settings probably will be changed, either POP or IMAP. if they been using POP, easy peasy, as you can just change the settings and everything will continue working, but if the accounts are IMAP, you will have to backup the IMAPs first, and then create new accounts from scratch. (you can move the old emails to the new accounts or just keep the old emails as backup).

If the domain is used with a Exchange environment, much worse. Make sure that the users have backups of emails, contacts, calendar, etc.

The domain part and DNS is very simple. The emails can be a headache if is not done properly. Check how they are using the email accounts first (either Outlook, smartphones, webmail) and what do they expect. If they are using Outlook, you can always backup to a new PST and keep it there as a backup always accessible and setup the new accounts from scratch. Double check that the new host is giving you SMTP access as well, some of them do not offer the service.
 
Thanks, it's just POP. So far I have activated the new server and will get the DNS sorted out this weekend so that any downtime doesn't affect anyone's work. :D
