MS Outlook 2010 using gmail server

Good afternoon.

Our company uses "gmail" as a host/domain for our emails (our emails do not end in gmail.com). (Don't ask me why, it was setup years ago while I was working on site by some other guy in the office and I think it would be too difficult to change everything). We are using outlook 2010 (yes I know, old and outdated), and today it just keeps asking to enter user name and password, and no matter how many times you enter it just keeps popping up and we cannot send or receive emails.

We can work in gmail on the internet (chrome etc.), but that is just really painful.

I have managed to set up my email on the "New Outlook" which comes with windows, but here is my biggest problem: I have quite a lot of folders in outlook, for each project we have done, and for each supplier (makes it easier to find emails etc.). This is worth about 10-12 years of emails coming in and out. I back them up via a PST file.

Now on the new outlook, those folders no longer exist. I cannot start my emails from scratch, those folders with all the emails in are very important. Is there a way I can import my PST file into the new outlook (but so far the research I have done it seems like one can't).

If not, what other email software package could I use so I can import my existing PST file into and everything stays the same, no lost emails etc?
 
If I'm not mistaken Google was in the process of disabling automatic POP/SMTP access and you now need to authenticate an application by logging into your google account like you see in current versions of Office 365 etc

I see the option to enable POP is still under the settings menu, perhaps try enable it there

EDIT: I'd seriously consider Office365, especially for it's cloud backup facilities that come with the sub :) I have a family sub that I share with 4 others

I noticed that too, but yet I still cannot get that stupid password request box to go away to download and send my emails. I have disabled IMAP and enabled POP in gmail settings.

I really do not mind using 365, but will I be able to import my PST file, to have access to all my old folders etc? This is what is giving me a heart attack.

Edit: The folders are not for a backup, it is folders I use everyday, like I explained my suppliers. It is easier for me track quotes and estimates, and during projects etc. I even revert back to old folders when the client requests spares etc.

Am I right that you have been using pop3 for your mail and not IMAP in Outlook?
 
IMAP is the better option as it keeps the files on the server and just syncs with your mail clients. Basically it mirrors on the server and devices.

I suggest rather using that in future.

Yes that is correct. I would really like to do it via IMAP so then my folders sync onto my gmail side. (That is what I have done at home). But I cannot get access via outlook 2010.

Does 365 offer the option of importing the old pst file?
 
Office 2010 is considered a "less secure application" by Google and as such its authentication method is now unsupported. You will not be able to log into Gmail with that version of Office anymore.

Also, don't use the "New Outlook", it is unfit for purpose (my professional opinion) since it lacks a lot of business functionality. Use the classic version of Outlook 365 instead and you will be able to open PST files again. It also supports the older version of PST files, so you should not have any problems in that regard. Best to convert those PST files to the new version though, as the modern version is more resilient.

Ah thank you. I was wondering about it being outdated, thanks for verifying it. Yeah I quickly tried the "New Outlook", not great at all. I didn't like it.

Ok I will tell the company to invest in 365, then we can also have the latest versions of excel / word etc.
