Previously we would just create shared folders and dump the files in there for the users to access.

Now I'm wondering whether it will be a better strategy to create partitions, but limit these partitions to 100Gb (or depending on the requirements), for every department.

This will allow for greater control over the amount of data every department is storing on the server as old data definitely have to be archived somewhere as not to clog up hard drive space.

For example, development gets 100Gb, HR gets 40Gb, Admin gets 40Gb, Installations gets 60Gb and so on.

It will be the responsibility of each department head to notify IT of data that need to be archived and moved off the server to safe external storage.

Otherwise, having a whole 3Tb partition for world+dog to abuse is just too much to ask as every department can just dump their stuff in there and bugger the rest.

Also, the partitioning thing should be a safeguard against nasties wanting to infect other computers.

Any suggestions or recommendations?

I want to avoid the trap of "let us increase quotas for a while" as you'll increase the disk quota, but then never get a chance to shrink said quota. A partition will be hardcoded at least, and not as easy to increase as a disk quota.

MS or Linux server? If MS server just use Quota Management and apply quotas per user or per shared folder and setup alerts to mail managers when their share/folder gets to 70% or something. Don't tell them about the quota's lol

Or else just use partitions like you suggested.

Storage server lets you prevent them from putting file extensions that you specify in the directories too, prevents some chop from storing their entire movie or mp3 collection in there.

Ah... now that is interesting.

It is M$ server. I want to implement this. Chops do store their MP3/movie collections on the server.

Googling tells me that storage server is licensed to OEMs. Is there a way to get those features on a normal 2008 or 2012 server?

Yes you definitely can get it on normal 2008/2012, give me a second to look at my setup and I will let you know where it is.
I had to do it to stop users cramming their junk on the storage volumes.
 
On the other hand, partitions aren't that flexible - if a department have explosive growth and needs more disk space, then I'll be stuck again.

So it'll be quotas then. Better play it safe.

Still in the planning stage though, no need to rush things.

We only allow word or excel docs on 99% of our shares. Walked in one day and 500Gb was used up by one oke and his mp3 and movie collection. And that was the end of media on our shares lol
 
Also set up the duplicate file reporting alert. People like to copy files around for some reason and forgot that they made a copy. Get a report once a week showing where duplicate files are. Sometimes the same file is on 8 different places, why they do it they don't even know lol

If you are planning on going Server 2012 you can set up Data De-duplication for each volume
