Ufiling (UIF) declaration struggles

Hi all,

For a small business with five employees I am struggling to file the uif returns. I use the Ufiling website, enter the employees’ info, but the submissions remain orange “submission allowed”, and most of them don’t go green “submitted”. I’m at my wits end how to make it all go green.

I do the payments via sars; but I’m not sure the registration and application on the side of the Labour Dept is in order.. Super frustrating!

Does anyone have any suggestions? Am I the only one having these issues?

And for those who employ people, how do you deal with the uif declarations?

Don't bother with the info on the DOL's system. As long as you've done your submissions via SARS.

I haven’t had this yet, but what is an employee wants to claim maternity or so? Will it be granted, or will there be trouble due to possible issues with filling?

Took my wife 3 trips to the UIF offices and about 8 months to get paid out for maternity leave. And they only paid about 60% of what they were supposed to. Bloody nightmare.

Your problem is a very common problem which most companies experience who does their submissions monthly on UFiling. Here is a few solutions that you can explore.

1, Submit all your declarations from March 2019 - To date.

2. Your blocks are remaining orange.

3. The possible reasons for this is :

a) Threshold issues
b) Incorrect data captured
c) In most cases if there is not a red block next to the employees name, we would automatically assume it;'s correct and that employee has no issues.
d) You need to open every employee and make sure that the data you have capture is 100% correct.
e) Have you updated the employee records/salary adjustments and just clicked finished or submit declarations.
f) It's always advisable to not click finish but to click on submit declarations
g) Employees who have been registered for example in 2015. Have they been declared from 2015 - 2019/03. You can submit these declarations manually but you have to update the declarations under employee records also.

4. These should resolve your problem and once you have rectified any inconsistencies submit your declarations.

The BCEA is very clear on when an expecting mother maternity leave:
2) An employee may commence maternity leave--
(a) at any time from four weeks before the expected date of birth, unless otherwise agreed; or
(b) on a date from which a medical practitioner or a midwife certifies that it is necessary for the employee’s health or that of her unborn child.

It's not a question of should but rather a statement it must be granted smoothly.

But we do not capture it manually we submit via openHR which is free and we use it for payroll and HR and we get emails back from UIF that it was accepted yet still orange marked. I dont trust the Labours systems

Dont think the lady had issues with the claim as we also gave her the manual forms which openHR also generates

If it was a recent submission, the UIF online portal is currently down.
 
The Ufiling system is up now, but when I try to retrieve my previous declarations and submit declarations for the time they were down (2 months), they cannot retrieve any of my declarations. System is FUBAR!

I have been able to do my UIF submissions on the website up until February 2025, now I get the same error as this one. Calling the call center, they said I can manually submit (which I have never done) or go to the UIF center. NOT going to stand in line at a UIF center, and not manually submitting as I have no clue of where to even start. Also cannot use SARS to upload because I just want to pay UIF for my domestic worker and gardener. I use manual payslips, so don't have a payroll system, also not going to get one for just my domestic worker and gardener. I am trying to do the right thing here by paying UIF but if their system doesn't work, then they not getting anything.
 
Still a problem, this and the UIF don't give you proper answers when you call and ask when the system will be online.
 
It is working at the moment. I managed to get through in Incognito Mode in my Chrome Browser. Payments submitted as well.
