What process do you follow to Archive users email

Like the tittle suggest how do you keep your outlook users email to a minimum?

Do you manually go archive the users email as soon as the mailbox reaches the limit?

Do you use auto archive and if you do how?

backup users archive files?

We use EAS Exchange archiving to archive messages older than 6 months old. Obviously that's a rather expensive corporate solution.

I'm generally reluctant to use PST files, because they end up "out of the system", and use more space, not to mention affecting file server performance if they're store there. Rather size the Exchange server(s) correctly.
