We are currently using a MsOffice Access database for our company jobs lists and reporting for the last 15 years. We need to replace this system with something more stable for larger amounts of data, which has the following capabilities:

  • Loading our customers and customer information This need to include prices for each client for different inventory items - pricing only visible for management level users.
  • Loading our suppliers Including supplier costs (to be able to calculate profit on each job based on charge to client) (Eg. Supplier charges R5000 for transportation of goods to KZN Province, client is billed R7500 -
    therefore profit on jobNr 001 is R2500
  • Job Cards / Authorization lists Each job completed for each client is linked to an authorization or job number - all details pertaining to this job are captured here (each job is linked to a customer as well as which supplier completed this job) - documents need to be able to be scanned in and linked to each completed job
  • Job status go from "requested" to "in process" to "awaiting docs" to "completed" at which time it would be sent for invoicing.
  • Various reporting necessary including: client reporting for invoices to be issued
  • Supplier reporting - to cross check invoices from suppliers
  • Profit reports (client charges less supplier costs)
  • Jobs Requested, jobs still in process, jobs awaiting documentation
Please kindly provide any software or platform suggestions which could allow us to develop a type of system which can be used by our main office as well as at our one other branch.

Perhaps something similar to msAccess but more stable and with the ability of being loaded in a web browser to allow for off site capturing etc?

What financial software do you currently use?

PS: utilises Microsoft SQL, easily able to accommodate 30 concurrent users on SQL Express if the server and databases runs on nice, fast SSD's.
 
Well then, if you require integration for posting financial transactions, our software is able to, seamlessly, to Pastel Xpress, Pastel Partner and Sage Evolution /100/200, utilising their SDK.

There are a number of free CRM tools available:
 
SuiteCRM - Very good fork of SugarCRM and active OS Project (AFAIK Sugar ditched supporting the community edition a few years ago)
Corteza - similar to SugarCRM/SuiteCRM/Vtiger but written in Go.

SuiteCRM and Corteza both have low code functionality for customising the platform in the admin panel with no coding so in that sense you could think of them (in your terms) as a kind of web based access equivalent (only actually much better.)

You might also consider a couple of open source ERP Systems. interesting opitions include:

ERPNext
Flectra
Metasfresh - One of the more promising Compiere/Adempiere derivatives IMHO

There's also Odoo but with them I'm always a bit wary of their intentions regarding their commitment to remaining Free/Open Source - they send the sort of messages that they might ditch the community at some point.

Thank you @InvisibleJim ! I couldn't figure out how to install Corteza, however I am busy looking into "Flectra" and am loving it so far !

I think both have granular role based access control. I don't imagine either are inherently insecure but as with any system you have to do your homework and not expose to the internet unless you have to.

Running either of these in a Docker environment behind a Traefik load balancer with Lets Encrypt is quite an nice set up.
