Looking for a software program .....

I hope you can guide me in the right direction. I am looking for a program that is user friendly yet efficient. I am not quite sure if you get something like this, or what it is called. I need a program that I can load a new customer’s basic details on. It should tell me what date I received the application and what type of application it is...It will also be nice if it can tell me what documents are still missing at what stage. I would like to make reminders for myself to contact the Department on certain dates, as well as the client...It would also be great if I can link it directly to my email so that as the reminder comes up, I can contact the client then and there...does something like this exist ?

There are many software packages that do this (plenty free), you would have to look at what you find to meet your needs.

Plenty of CRM apps out there, but maybe a Sharepoint workflow linked with Exchange would be sufficient?
