Reporting a Deceased Estate Online?

Does anyone have experience with registering a deceased estate online, on the https://dojonline.justice.gov.za/ website? We've had a death in the family and reported it online, things seemingly went fine, but it has been over a month with no further feedback other than the initial confirmation that the case was registered successfully. Ever since early January, the application "outcome" reflects that a J84 Query sheet was issued, but we haven't received any mails, calls, smses or any type of correspondence from the DOJ. Furthermore, there isn't much information on what an J84 query sheet actually is or what that particular outcome means nor what happens next.
The DOJ recently even uploaded some "tutorials" to Youtube that details the steps that need to be followed for this online process and in the example video the outcome of that registration also reflects J84 query sheet issued, but the presenter doesn't explain what that means or what the next steps are?
Maybe someone with a legal background can just advise what it means when a J84 query sheet has been issued and then at least we will know what has to happen next.
 
The DOJ and others are probably in the middle of another ransomware attack.

Perhaps you should hire someone to get you a printed copy of your J84 before everything is erased?
 
Hi, I am in the same situation. On the website under supporting documentation a message is displayed "Original Will document must be physically lodged with the Master Office". This is what I have done: I made an appointment with the DOJ in Pretoria and handed in the Will. Myne is still on J84 status.

They have no idea what you are talking about when you arrive. I spent an hour going from one desk to the next. They are totally unaware of the online process. My suggestion to you is to print all the documentation that you uploaded and hand everything in at reception if you are going to Pretoria. They need to open a file with the URN and the Estate number (this is the last 5 digits of the URN) and the year of passing (23 or 24. e.g. 12345/23 ).

I also spoke to an estate lawyer who said you need to have lots of patience and wait at least 4 weeks after handing in the Will. I do log a Query on the Website every week to get feedback, no joy yet,

Thanks, one of the problems is that there is no will, and I don't see that message in the supporting documentation section. I already have an URN number from the online submission, so I'm not too keen on going to the DOJ physically to do it all over again in person.

Edit - I found a PDF with the individual contact numbers and email addresses for what seems like everyone in the DOJ. I suppose I will start harassing each and every one of them until I get some kind of a response.

Well, here's something I didn't expect.
The J84 form, when issued - is quietly dropped into your "supporting documents" folder on the DOJ site, along with all the other supporting documentation that you would already have uploaded. You have to click on the orange icon to review the contents of the folder.
It seems like the documents are sorted alphabetically with no other way to sort it, so I found it on page 2 (of 3) after all the other J* documents that I had completed and uploaded. One doesn't realise that you have to go back to that folder and dig for the form they submitted because during the process it doesn't say where the form was issued to or what to do with it.

Now that I have the form, there's a new challenge in understanding what to do with the actual J84 form because on that form, there's a bunch of tickboxes for various forms and documentation, but in my situation, there's just one section ticked, namely "J84 - Other" and a random number typed into a free text space with no context with regards to what the number is or what it refers to. It doesn't seem to be a phone number, date, form number, ID number, account number, reference number or anything obvious.

I am in the same boat. Registered via the DOJ online portal. Did everything as they requested, and simply got a J84 Rework request, "Foreign nationals with no South African IDs to register estates physically at the Masters Office."
I find their statement incorrect as I did upload my Dad's Green SA ID book.

Please let me know if you got further in this process, and what you had to do ?

No luck. Seems the online process is pointless. We’re planning to physically go to the DOJ when all the relevant parties can get together. Even then, I’m not convinced we’ll get everything sorted out.

Didn't your Dad have an ID card?

EDIT: From what I can see the Green SA ID book is still valid.
 
So, seems like we're finally getting somewhere, after countless nagging and phoning and mailing and physically going to the Master's Office - we received word that we can collect the Letter of Authority. I suppose there's a chance they might still lose it before we get there.

Yup. Fortunately it seems this chapter is concluded and it "only" took us 10 months. A colleague of mine had an even more painful experience and only got their letter about 24 months after they kicked off the process.
